Setting the Time
- From a System Keyphone, press SPK and
dial service code 828
- Enter the new time in 24-hour format (i.e. for
half-past two in the afternoon, enter 1430)
- Press SPK again when complete

Reset Extension
The extension reset feature will
clear all forwarding to other extensions, voicemail, external diverts and
do-not-disturb.
[Standard
Telephone] - Lift handset
and dial service code 720 (wait for acknowledgment tone), hang-up.
[System Keyphone]
- Press SPK and dial service code 720 (await beep), press SPK
when complete.

Using the Call Log (Key)
System Keyphones can have a key
programmed as a Caller ID Log key [851:08] to give an indication of external
calls that have been received or missed (Caller ID service needs to be
provided by your service provider).

Press
the Caller ID List key to view the list, scroll up/down using the volume keys.
To dial a number from the Call History list, press the CALL-key.
The maximum number of stored calls is 16.

Using Voicemail
The codes etc
that you use to control your voice mailbox will depend on the configuration of
your NEC XN120 System, as of November 2006 - Release 6.00 provided new
single-digit options to provide easier voicemail control for basic voicemail
users.

Your system
administrator or phone system maintainer can advise you on which type you are
using and the differences between the two.

Checking Keys (Flashing)
Keys can be programmed for a
number of facilities, which when activated will cause the key to flash as an
alert to the user. Facilities include Message Waiting (new
notification), Call Log (new missed call), Voice Mailbox (new voice message),
Diversion/Forwarding set (via a programmed key). If you also have keys
programmed for Direct Station Select (DSS) of other extensions, permanent
flashing can indicate that the extension user has activated do-not-disturb or
call forwarding.
To check the programming of a key:
- Press the CHECK
key (to the right of the LCD display)
- Press the key
you wish to display (the programmed feature for the key will be displayed)
- Press the CLEAR
key (to the right of the LCD display) to return to normal operation.

Call Diversion/Forwarding
The use of the Call Forwarding
facility may be controlled by the extension users class-of-service.
Intermittent dialtone is heard when a diversion is set, system keyphones will
also have a flashing divert key or a flashing DND/CONF key.
Divert all Calls:
[Standard telephone]
Lift handset and dial 848 - 1 - (dial extension) - Hang-up
To cancel, lift handset and dial 848
- 0 - Hang-up
[System keyphone]
Press Call Forward-Immediate key, plus 1 to enable or 0
to disable, then dial the extension to divert calls to, press SPK when
complete.
Divert on Busy/No-Answer:
[Standard telephone]
Lift handset and dial 844 - 1 - (dial extension) - Hang-up
To cancel, lift handset and dial 844
- 0 - Hang-up
[System keyphone]
Press Call Forward-Busy/NoAns key, plus 1 to enable or 0
to disable, then dial the extension to divert calls to, press SPK when
complete.
To cancel all set diverts:
Dial 888 - 0
To reset extension (clear all):
Dial 720 - (wait for tone)
External Divert:
[Standard telephone]
Lift handset and dial 713 - 6 - (9 + telephone number) - Hang-up
To cancel, lift handset and dial 713
- 6 - Hang-up
[System keyphone]
Press Call Forward-Device key, dial 6 - (9 + telephone number) -
Press HOLD, press SPK when complete.
To cancel, press Call
Forward-Device key, dial 6 and press HOLD, press SPK
when complete.

Intermittent Dialtone
System users will hear
intermittent internal dialling tone on their extension phone if a facility
such as forwarding/divert or do-not-disturb is activated. It is also
heard when a new voice message (or General message) is waiting. System
Keyphones will also have a flashing DND/CONF key when forwarding or
do-not-disturb is active.

Clicking Phones
System Keyphones will click and
the display will show SUN 0 0 00AM when the NEC XN120
system is rebooted or if the Keyphone is moved or reconnected.
This is perfectly normal and will
happen as the phone retrieves its programmed data from the NEC XN120 system.
The phones will click for approx 2 minutes on system start-up and for about 15
seconds if the phone is reconnected.
If the phone continues to click
after this time but all other phones are ok, this normally indicates a wiring
problem.

Number dialled is not in service
System users may hear the message
"Number dialled is not in service" if the NEC XN120 system has the
guidance messages enabled, the message indicates that they have entered an
unknown service code or have tried to access a service code (such as setting
the time) which their extension class-of-service is not entitled to enter.

Group Login/Logout
If you are
going to be absent from your desk for a time, you can logout of your
department group and then login again on your return, System Keyphones can
have a key programmed for this facility if required, the key will be lit when
you are logged out of the group.
Group Logout
- Lift handset

Group Login - Lift handset

Using DND/CONF Key (Do not Disturb)
The DND/CONF
key can be used to set various Do not Disturb (DND) options at your extension.
The DND/CONF
lamp will be lit to indicate the DND feature is active and if you have a
display, the type of DND active is shown. The dialtone pattern will also
change when this feature is set.
Press the
DND/CONF key then press one of the following digits to activate the required
feature:

Conference Call
The NEC XN120
offers a range of flexible and easy to use Conference facilities including the
ability for users to join a Conference call at the touch of a button after
being asked to join by (a buzzer key to alert them can also be
configured). The XN120 also provides Conference Bridge facilities so
that internal and external users can all meet in a Conference room at a
pre-determined time by dialling a single access number.
The method
shown below is available by default on XN120 systems:

Directory Dialling Key
When
programmed the Directory Dialling Key (DIR) allows you to do a first name
search for another Extension user or a System Speedial.
The procedure
shown below shows you to search for System Speedial names.

then press 1 for Abbreviated Dialling - Common (ABBc) |

Using the
alphanumeric keys on your dial pad, enter the first name of the person
or company you are searching for. Enter the letters (normally 3 is
sufficient) as if sending a Mobile SMS (Text) message. |

Press the Volume
Up key to scroll through the results of your search. |

Press the
Call-key or lift the handset to make a call to the speedial number. |

Dialling System Speedials
The NEC XN120
has storage for up to 2000 Abbreviated Dialling numbers
(Speedials).
System
Speedials can be entered into the system manually from a telephone, one at a
time using the Admin Pro facility from your Internet browser or uploaded
instantly to the PC Pro utility from an Excel spreadsheet. Please
contact your XN120 maintainer for advice.

Change Extension Display Name
Extension
names can be changed using the XN120 programming utility 'PC Pro' or the Admin
Console from Internet Explorer (WebPro).
You can also
change extension names using an NEC 'Vision' digital display phone.

prompted by "Dial ICM" - dial the extension number you wish to

Enter
the new Extension Name using the telephone dial keypad (# - confirms an
character entry and moves cursor right, ## - enters a space,
DND/CONF-key delete/backspace one character, CLEAR-key - clears all
characters). |
